Reviewing Graduate Data

Overview

It is imperative to thoroughly review the graduate data before the MarchingOrder deadline. Double-check for spelling errors, ensure proper capitalization, and verify all details, as the software will incorporate the information exactly as it is listed in your data. It’s advisable to complete this task a day or two before the deadline to allow sufficient time for any necessary changes. 

  • Access the Graduates module
    • Navigate to the Graduates module to begin the review process
  • Export Data
    • Click on the Export tab located at the top of the interface 
    • Select the ceremony/ceremonies you wish to review. For multiple ceremonies, choose ‘All Ceremonies’ and consolidate them into one sheet. 
    • Click the ‘Download Excel File’ button to generate an Excel sheet containing all graduate data
  • Review Excel Sheet
    • Open the downloaded Excel File
    • Click ‘Enable Editing’ to modify the document
    • Expand columns as necessary to ensure all data fields are fully visible
  • Filter Data
    • Click on the ‘Data’ tab in Excel
    • Select ‘Filter’ to organize and review specific data categories 

      5. Verify GradPass (if applicable) 
    • If using GradPass, confirm that every graduate has been assigned one
      6. Review Details and Ensure Accuracy 
    • Examine any details that will displayed on the graduates' slide or cards 
    • Click on the arrow within each data field to view all information listed under that category. 
    • Check for consistency and correctness in all displayed information, including names, degrees, programs, honors, etc. 
      7. Completion and Next Steps
    • If all information appears accurate, the Graduate Data Review is finished. 
    • If additional updates are necessary, follow the instructions on How to Update Graduate Data

By following these steps meticulously, you will contribute to the seamless execution of the graduation ceremony and ensure that each graduate's information is accurately represented.
