Customizing The Graduate Registration Form



Overview

Your MarchingOrder data collection website has been set up based on your survey responses and discussions with your Customer Success Manager. Follow the instructions below and watch the linked videos to customize your MarchingOrder Assistant data collection website. Contact your Customer Success Manager if you have any questions. 

Note: We strongly suggest that all customizations be completed before opening the website for graduate registration. 

Customizing Your Registration Form

Click in to the Ceremonies module from the left-hand navigation menu, locate the ceremony you want to edit, and click the blue "edit" icon (paper and pencil) next to the ceremony. 

Ensure the information in the Ceremony Settings tab is up to date. You can update the ceremony title, date and time, location, map link, website link, and logo. After making changes, click Save

To navigate to the Registration Form, go to the Website tab, then select the Registration Form tab. To customize the registration form, review the following:
  1. Review Prepopulated Information: 
    1. At the top of the form, review information that auto-populates based on the ceremony settings.
    2. The form includes sections created based on the products you’re using. 
  2. Review Prepopulated Questions: 
    1. Ceremony RSVP: The first question is usually an RSVP (Yes/No).
    2. Graduate Info: Official name is displayed as uploaded (non-editable). Graduates can provide a preferred name and update phonetics.
    3. Say It Right: Option for recording name pronunciation.
    4. Photos/Messages: Graduates can submit photos/messages for virtual ceremonies or slideshows.
    5. Friends and Family: Allows graduates to email ceremony details to guests.
    6. ADA Accommodations: Collect requests for special accommodations.
  3. Finalize Registration Complete Page: customize the message shown after form submission. Include links to graduation pages, regalia orders, or important reminders.
  4. Additional Ceremony Details: 
    1. Enable the Additional Ceremony Details tab if needed by checking the checkbox.
    2. Add any extra information or links for graduates. Rename the button if desired.
    3. Click the green Save button.

Optional Customizations & Functionalities

Add and Customize Questions/Sections

  1. You'll notice that registration form questions can be grouped into sections. Click the Add Question button at the bottom of each section, or the Add Section button at the bottom of the registration form.
  2. To edit a question or section, click the blue paper and pencil "edit" icon.
  3. Adjust question text, add instructions, set expiration dates, and configure whether the question is required, visible, or editable by clicking the three buttons which are like switches. 
  4. Click Save and Close, then Save at the bottom of the form.

Question Types

  1. Checkboxes: Allow multiple responses.
  2. Radio: Limits responses to one choice.
  3. Dropdown: Limits responses to one choice in a dropdown menu.
  4. Single Line Text: For brief written answers. Set a character limit if needed.
  5. Multi-Line Text: For longer answers. Set a character limit if needed.

Use Dependent Answers

  1. Display questions based on previous answers (e.g., show additional questions if RSVP "Yes" is selected).
  2. Under the Dependent Answers section within each question, select the answer that you want to make this section dependent on. 
  3. Click Save and Close.

Use Graduate Data as Dependencies

Display questions based on graduate data fields (e.g., show questions only to PhD graduates). In the Dependent Graduate Fields section, select the data field (e.g., degree) and set the value (e.g., PhD). Save your settings.

Limit Answer Options

In the Answer Options tab, add answers individually or in bulk.
  1. Restrict responses by setting a limit. Once the limit is reached, options will be grayed out for graduates.
  2. Click Save and Close, then Save at the bottom of the form.

Set Up Automatic Actions

Define actions based on responses (e.g., assign a GradPass to grads who RSVP “Yes”).
  1. Go to GradPass Settings and select Manual Assignment.
  2. In the registration form, go to the Answer Options tab, choose the response for assignment, and set Automatically Assign GradPass to Yes. Save your changes.
