Distribute Extra Guest Tickets

Overview

Throughout the registration process you may find that you have extra tickets that are available. To disburse these extra tickets you have three options: individually assign them, mass assign them, or open a second allotment.

Individual Assignment

  1. Search for the Graduate:
    1. Navigate to the Graduates section of your system.
    2. Use the search function to find the specific graduate to whom you want to assign additional tickets.
  2. Edit Graduate Record:
    1. Click the blue pencil icon next to the graduate's name to open their record for editing.
  3. Access Ticket Section:
    1. Scroll down to the ticket section within the graduate's record.
  4. Add Extra Tickets:
    1. Click the Add button within the ticket section.
    2. A prompt will appear; select the appropriate ceremony, allotment, and specify the number of additional tickets you wish to assign.
  5. Confirm Addition:
    1. Click OK to confirm the addition of the extra tickets.
  6. Notify the Graduate:
    1. Graduates will not receive automatic notifications about the added tickets.
    2. To inform them, you have two options:
      1. Email Tickets Directly: Click the email button next to each extra ticket assigned to send an email notification directly to the graduate.
      2. Inform via Email: Alternatively, you can email the graduate directly, informing them to log into MarchingOrder to view and access their extra tickets.
This process ensures that graduates receive their additional tickets and are aware of how to access them.

Mass Ticket Allotment

If you prefer to have your graduates be issued additional tickets instead of having to claim them, tickets can be mass allotted via a data update. 
  1. How it works:
    1. Updating the ticket amount updates their total number of tickets, it does not add to the total amount of tickets they currently have. 
    2. You can only mass update tickets to one ceremony at a time.
  2. Update Graduate Allotment
    1. The total graduate allotment in the ticketing section must be increased in order to allow graduates to have more than the original graduate allotment.  The system will only allow graduates to have a total amount of tickets within the graduate allotment limit.
    2. You can change the total graduate allotment back to your original amount after the update is complete.
  3. Export your graduates:
    1. Go to the Graduates section and select the Export tab.
    2. Select the ceremony you wish to add tickets to and click the Excel File button: this will generate an excel spreadsheet of all graduate data, including their currently claimed tickets.
  4. Prepare your update:
    1. If there is a specific group of grads you only want to allot additional tickets to, filter them and remove all other graduates.
    2. In the excel spreadsheet, keep only the “Email” column and the “Tickets Ordered” column.
    3. Add the total amount of additional tickets to their current total. For example if you allotting graduates 2 additional tickets, and a graduate has already claimed 2, you would update their ticket total to 4.
      1. Can use a simple excel formula (=1st Cell + 2nd Cell, i.e. =B2+C2) by creating a third column with the additional allotment amount and then add the two cells together to get the new total number of tickets per graduate.
      2. By doing a formula it will give you a new column that you can use in place of the “Tickets Ordered” column.
    4. Once all ticket amounts have been updated, change the header of the column from “Tickets Ordered” to “Ticket Allotment”.
  5. Run the update:
    1. Follow the same Updating Graduate Data instructions as you would for all updates.
    2. When choosing which fields to update, under the Spreadsheet column, you will see a list of all the fields on your update spreadsheet: Find “Ticket Allotment”. 
    3. Next to it, under Update Field, there is a dropdown menu for each row. Choose “Total Allotment”.
    4. Finally, under If Value is Empty in Spreadsheet; select, “Leave the grad’s existing data unchanged” - this will let you only change the graduates contained on your update spreadsheet.
    5. Click the green Review button.
    6. On the Preview page, it will show you the total amount of tickets the graduates are being updated to. If it looks correct, click the green Run Update button.
    7. Once complete, check the update was successful by opening a graduate record that was on the update spreadsheet and seeing if their new total amount of tickets was present.
  6. Seek Assistance if Needed:
    1. If you are having difficulty completing this update, contact your Customer Success Manager for assistance.

Second Ticket Allotment

To add a second ticket allotment period for a ceremony, follow these steps:
  1. Locate the Ceremony:
    1. Go to the Ceremonies section of your MarchingOrder Assistant.
    2. Find the ceremony for which you want to add a second allotment period.
  2. Access Ticketing Options:
    1. Click the Ticketing button to the right of the selected ceremony’s information.
  3. Navigate to Allotment Periods:
    1. Click the Ticketing Allotment Periods tab at the top of the page to view existing allotments.
  4. Add a New Allotment Period:
    1. Click the Add Allotment Period button.
    2. A new allotment period will appear at the bottom of the list.
  5. Configure the Allotment Period:
    1. Enter the following details for the new allotment:
      1. Allotment Period Name: Choose a descriptive name for the period.
      2. Opening Date: Set the start date for this allotment period.
      3. Closing Date: Set the end date for this allotment period.
      4. Total Ticket Allotment Number: Specify the total number of tickets available in this allotment.
      5. Graduate Allotment Number: Indicate the number of tickets each graduate can claim in this allotment.
  6. Activate the Allotment:
    1. Change the status of the allotment by clicking on the red box under Active to turn it into a blue check mark. This action makes the allotment active and available for use.
    2. Click the green Save button to confirm your changes; a confirmation message will appear letting you know your allotment is now active.
  7. Seek Assistance if Needed:
    1. If you require assistance with strategy for opening a second allotment, contact your Customer Success Manager for guidance.
By following these steps, you can efficiently set up and manage additional ticket allotments for your ceremonies.
