Set Up your MarchingOrder Director Station



Determine your Scanning Location

First, determine your scanning location – it must be within reach of the laptop. The extension cable connecting the scanner and laptop runs between 100’ and 150’ feet, depending on the equipment used. In general, we recommend putting the Ceremony Display Laptop as close as possible to the scanning location. 

If you plan to manually advance the graduate names, choose a location with a direct line of sight to the graduate release point. Alternatively, you may set up a monitor that displays the program feed. Either will allow the laptop operator to keep consistent timing as they advance graduate names.

In addition to your MarchingOrder equipment, the MarchingOrder Station will need a small table, chair, and dedicated power strip.


Connect the MarchingOrder Station to the QR Code Scanner

The steps listed below should be completed in the following order:
  1. Connect the Ceremony Display Laptop to power.
    Before Continuing to Step 2: If the scanning area is within 6ft of the Ceremony Display Laptop, you may connect your scanner directly to the computer, without the extenders and Cat6 cable.
  2. Before you connect the extenders, carefully run the Cat6 cable from the Laptop station to the scanning area. Identify the “Local” and “Remote” USB Extenders; the remote extender has two standard USB ports. Connect the extenders to both ends of the Cat6.
  3. At the scanning area, connect the QR scanner to either USB port on the remote extender.
  4. Plug in the AC power adapter to the remote extender, then into a power source.
  5. At the Ceremony Display Laptop, connect the short black cable to the local extender, then connect the USB side to the laptop. The scanner will beep three times and this indicates the connection is working.
TIP: If the scanner does not power up after all of these connections are made, disconnect the local extender from the laptop and then reconnect it.
TIP: After the equipment has been fully tested, use Gaffer tape to secure the Cat6 cable to prevent dislodging.




*Important: the AC power adapter for the remote extender and the laptop
must be plugged into power to ensure a strong signal between both ends.
