Overview
If you need to allow specific groups of graduates access to specific quantities of tickets, Assigning tickets based on a graduate data field, or GDF, is a great option.
Graduate Data Fields (GDFs)
Represent the information that you will be importing to your MarchingOrder Assistant site for each graduate. Admins are able to assign tickets based on these values.
EXAMPLE: if you want to assign ticket allotments based on Degree Level values (e.g. Bachelors, Masters, PhD), first ensure the “Degree Level” GDFs have been added to the Data Fields section. From the dashboard, click into Data Fields in the left navigation menu. In order to assign ticket allotments correctly, you must ensure:
- The graduate data field has been added.
- Each graduate has a field value assigned in the data that matches the allowed degree level value.
Now, you’re ready to assign allotments to the GDF values. Return the Ceremonies module, select the Ticketing button for the ceremony you are editing for, and click into the Ticketing Allotment Periods tab.
- Ticket allotments can be created by selecting the green + Add Allotment Period button. It can then be assigned a name, given a start and end date, allotment totals, and graduate totals.
- Now that we've added the new allotment, we can assign to it only PhD graduates from the predefined Degree Level GDF. Click Configure gear icon to the right of the new allotment, this will bring up a Configure Allotment Period popup window.
- In the green dropdown menu, select the predefined GDF you want. In this example, the Predefined GDF is Degree Level, chose “Value is” and enter “PhD” graduates.
- Click the Save and Close button.
- Repeat this step for each predefined value under the Degree Level GDF, or however it is preferred to group your graduates.
